We have an exciting opportunity arisen for a full-time receptionist to join our team based at our recently upgraded Lerwick Factory, Gremista.
Key Responsibilities:
- Answer the main switchboard for all SSF calls and direct accordingly, ensuring that all messages are dealt with in an efficient manner, with missed calls logged and followed up.
- Manage the Purchase Order System for a variety of invoices, setting up POs and receipting for payment.
- Manage the post in/out as necessary
- Manage and maintain a professional reception area ensuring that it is clean, tidy and welcoming
- Signing in visitors and contractors, ensuring all paperwork is completed and filed.
- Meeting Room Coordination; managing diary, keeping refreshments stocked, cleaned to a high standard, liaising with cleaners regarding visits and meetings.
- Taking responsibility for stationary reordering.
- High profile customer visits: ensure all preparations before visit including; badges, kit bags, liaising with all departments involved to make sure that all areas are covered.
- Accommodation: assisting with booking hotels and flights for SSF employees, always ensuring the best price for SSF
- Welcome visitors and contractors, making sure they are briefed on H&S of building and given relevant access through door entry fobs
- General office housekeeping
The ideal candidate will be the first point of contact for our visitors, providing an exceptional service and ensuring the smooth operation of our front desk. This role requires strong communication and organisational skills, proficiency in various office software and a welcoming demeanour to create a positive first impression.
